Operations Manager

Position Title: Operations Manager

Part Time (20-30 hours per week)

Position Overview:  The Operations Manager reports to the Director of Operations while working closely with Converge Leadership. The main role of the Operations Manager is to implement the best processes and practices across the organization. The  Operations Manager will lead, manage, and be held accountable for company operations which include financial, human resources, legal, information technology, and office operation functions. Ultimately, this role helps the company remain compliant, efficient, and profitable.

Responsibilities

  • Operational Responsibilities
    • Update Converge’s Core Processes Document on a semi-annual basis to improve operational management systems, processes, and best practices
    • Manage and analyze workflows to help implement and create appropriate tech infrastructure
    • Maintain key management system ensuring security and operational efficiency  
    • Communicate with the Converge team about shifting operational priorities or projects when necessary 
    • Perform quality controls and monitor operational KPIs, ensuring all operations are carried on in an appropriate, cost-effective way
    • Identify potential problems and points of friction; work with the Leadership Team to find solutions to maximize efficiency and productivity
    • Create initiatives that further the company’s long-term planning goals overall 
    • Review current and future operational treads and indicate process/procedural gaps communicating recommendations based on findings 
    • Manage relationships with Converge vendors 
    • Purchase office supplies and equipment for Converge staff
  • Financial Responsibilities
    • Work with Elysian’s Director of Operations and the Finance Manager to assess and analyze departmental budgets; finding ways to minimize inefficient expenses and optimize profits
    • Knowledge of money management/investment principles 
    • Collaborate with Converge department heads, Elysian’s Director of Operations, and the Finance Manager to construct Converge’s annual budget
    • Ensure strict adherence to Converge’s fiscal policies
    • Examine Converge’s financial data to improve company profitability
  • Legal and Human Resource Responsibilities
    • Collaborate with legal counsel regarding Converge contracts, employment agreements, intellectual property protections, and insurances; periodically reviewing the aforementioned ensuring the organization remains legally compliant 
    • Partner with company HR Manager and hiring managers to facilitate onboarding of new employees and contractors and ensuring that they are added to all company systems
    • Work with HR Manager and hiring managers to offboard employees and contractors; timely deactivation of access to company systems
    • Conduct benefits audits to ensure all eligible employees are entered correctly and receiving benefits
    • Participate with the HR Manager to update Converge’s Employee handbook on a semi-annual basis

Minimum Qualifications

  • Bachelor’s degree (or equivalent) in business administration or a related field
  • 3-5 years experience in a similar capacity
  • 1 year as a supervisor or people manager 
  • Technological fluency
  • Strong skills in budget development and oversight
  • Strong IT skills, including database development
  • Knowledge of business productivity software and an aptitude for learning new applications
  • Must demonstrate strengths in analytics and data driven decision making capabilities  
  • Well organized and detail-oriented, with the ability to multitask and work in a fast-paced environment while meeting deadlines
  • Strong written and verbal communication skills
  • Adept at business negotiations
  • Be an active listener and effective problem solver with the ability to build trust and garner respect by communicating with honesty and tact

Salary: $40,000
